Invoices & payments

Track what you're owed

See outstanding and overdue invoices, follow up with reminders, change an invoice's status, and cancel or delete an invoice.

SKUFlow keeps your invoices' statuses up to date as payments come in and due dates pass, so the totals at the top of your lists are always current.

See what's outstanding

  • The Invoices list shows Outstanding (sent invoices awaiting payment), Overdue (past due) and Paid this month (payments received, less refunds). Filter by status or search by invoice number or customer.
  • The Dashboard shows Outstanding invoices and Overdue.
  • Each customer's page shows their Balance.
  • Reports has an aging report of what each customer owes.

These are balances due, not invoice totals: a $1,000 invoice with $400 paid counts as $600.

How statuses change by themselves

  • A sent invoice becomes Overdue once its due date has passed, counted in your business's timezone.
  • When payments cover the total, it becomes Paid, with the date of the payment that settled it.
  • A refund that reopens a paid invoice moves it back to Sent, or Overdue if it's past due.

Follow up

Open an overdue invoice and click Send reminder. On the Connect plan and up, automations can send reminders for you.

Change the status yourself

Owners, admins and staff can change an invoice's status in the Status panel on the invoice: Draft, Sent, Paid, Overdue or Cancelled.

  • Choosing Paid with a balance due opens Record payment with the balance filled in, so the books still add up. See Record a payment.
  • An invoice paid in full can't be set back to Draft, Sent or Overdue. Refund instead.
  • An invoice with payments on it can't be cancelled or deleted.

Cancel or delete an invoice

  • Cancel an invoice you won't collect: set its status to Cancelled. It stays on record and takes no payments.
  • Delete removes an invoice and its lines for good. Owners and admins can delete invoices without payments. Cancelling keeps a record instead, so prefer it.
Deleting an invoice can't be undone.
