Invoices & payments

How customers pay online

What your customer sees when they pay an invoice or a deposit online, and how the payment reaches the invoice.

Once online payments are set up, customers can pay from three places: the invoice link you send, their customer portal, and an approved quote's deposit. They don't need an account.

What the customer does

Open the invoice

They open the link from your email or text, scan your QR code, or choose the invoice in their portal. The page shows the invoice, the payments received and the Balance due.

Choose the amount and tip

Under Pay online, the amount is the balance. If you allow it, they can pay part of it, and add a tip.

Pay

They click Pay … by card or Pay … by bank (ACH), and pay on Stripe's secure page.

See the result

Back on your page they see Payment received. Thank you!, or Your bank payment is on its way for a bank payment, which takes a few business days to clear.

What you see

  • The payment shows as Pending until Stripe confirms it, usually within seconds for a card.
  • Once confirmed, it's Received, with the card brand and last four digits, and the invoice updates by itself: Paid when the balance is covered, otherwise Partially paid.
  • If a payment fails, nothing is recorded against the invoice and the customer can try again.

The payment shows on the invoice's Payments panel and on the Payments page, with Stripe's fee under Fees.

Deposits

An approved quote that asks for a deposit shows Pay deposit on the quote page. The deposit is recorded on the quote and moves onto the invoice when you convert it. See Ask for a deposit.

When customers can't pay online

The pay button is greyed out with the reason while your Stripe account isn't set up or Stripe hasn't turned on card payments yet. With Show Pay online to customers off, no pay button shows. Draft and cancelled invoices can't be opened by the customer at all.
